Corporate dessert planning comes down to four decisions: when in the agenda you serve, where in the venue the station sits, how many attendees you expect at that moment, and who approves the invoice. Settle those and a caterer can quote accurately in one exchange.

Start from the agenda, not the menu

Corporate events run on a schedule, and dessert works best when it is attached to a break rather than floating. Mid-afternoon sessions, the gap before a keynote, and the shift from a work day into an evening reception are all natural slots. Decide the slot first, because it determines how long service needs to run and how many people will be in the room.

Check the venue logistics early

Office buildings, hotels and conference centres each have their own rules on loading access, elevator use, setup hours and outside vendors. Ask your venue contact for those constraints before you book a caterer, and pass them along with your enquiry. It is the single most common source of last-minute problems, and it is entirely avoidable.

Power and floor space matter too. A station needs a level spot and an approach where a line can form without blocking a doorway or a session exit.

Plan for attendance, not registration

Registration numbers and the number of people in the room at 3pm are rarely the same. Give your caterer both figures if you have them, plus your best estimate of how many will pass the station during the service window. A caterer who knows the real range can size the service properly instead of guessing.

Handle the paperwork up front

Ask what documentation your finance or procurement team needs before you confirm: invoicing details, payment terms, and any vendor paperwork your venue requires. Requesting it at the quote stage takes minutes and avoids a scramble in the week of the event.
