Caterer preparing a dessert station before guests arrive

Planning Guide

What to Ask a Dessert Caterer Before Booking

Service window, staffing, venue requirements, deposits and what happens when plans change.

Check your date

Before booking a dessert caterer, confirm the service window, whether the station is staffed for its whole duration, what the venue must provide, how much space and power are needed, what the deposit and payment terms are, and how changes to date or guest count are handled.

About the service itself

Ask how long the service window runs, whether staff stay with the station for its full duration, and what guests actually experience when they walk up. A staffed station and a delivered dessert table are very different products, and the price difference makes sense only once you know which one you are buying.

About your venue

Ask exactly how much space and power the setup needs, what time the team arrives, how long setup and pack-down take, and whether outdoor placement requires cover. Send these answers to your venue or coordinator so both sides agree before the day rather than in the middle of it.

About the commitment

Ask what confirms the date, what the deposit terms are, when the balance is due, and how a change in guest count or timing is handled. Get the answers in writing. A caterer who is clear about this at the quote stage is usually clear on the day too.

About fit

Finally, ask whether they have worked at your venue or with events like yours, and ask to see photos of real setups rather than styled stock imagery. It is the fastest way to tell whether the result will match the room you are planning.
